Violet Pixels is a web design, hosting and software business based in Kent, England. This page explains what information this website collects, why, and what you can do about it. It is written in plain English on purpose. Last updated 12 September 2026 (analytics added).
What we collect and why
The quote form
When you ask for a quote we receive your name, email address, phone number if you give it, what you need and anything you write in the message box. We use these to reply to you and to prepare a quote. The legal basis is that you have asked us to. The message is sent to our email and kept in the site’s records so we can find it again if you come back to us later.
The free website check
When you check a website we record the address you typed, the results of the check, and the time. A copy of your internet address (IP address) is stored in scrambled form so that we can limit how many checks one person can run in ten minutes; the scrambling cannot be reversed to get the address back. Reports are kept for 90 days so that the link we give you keeps working, then deleted along with any screenshot. We are told by email when a check runs, so that we can follow up if you ask us to. If the Google PageSpeed layer is switched on, the address you checked is sent to Google to fetch its performance scores; Google’s own privacy policy covers what it does with that request. The check only looks at publicly available pages, and only at the address you give it.
Monthly re-checks by email
If you ask us to watch a site, we keep your email address and the site’s address, and only start sending once you have clicked the confirmation link we email you. Each month we run the check again and email you the result. Every email has a link that stops them immediately and deletes the record. Sign-ups that are never confirmed are deleted after two days.
The client area
If we are working on a project for you, we give you a private area on this site to follow it. We keep your name and email address so that you can sign in and so that we can email you about the project, along with the messages, replies and files you send there and when you last opened the project. Your account also lists the products we provide you, such as web hosting and domain names, with when each was ordered and started, what it costs and when it renews. We also keep the invoices and credit notes we send you, the billing name and address on them, and the payments and refunds we record against them (the amount, the date, whether it went by bank transfer or card, and any reference). From these we produce your statement of account, and if an invoice is overdue we email you reminders. We never take or store card details on this website: card payments are taken over the phone. You sign in with a link we email to you; it works once and expires after 30 minutes (seven days in the first invitation), and we keep only a scrambled copy of it. Each project can also have a private read-only link that you can share with colleagues; anyone with it can see the project’s progress and files, but not send anything, and we can switch it off or replace it whenever you ask. None of this is visible to search engines, and nothing in the client area is shared with anyone outside Violet Pixels.
The guestbook
In the site’s 1996 look you can sign our guestbook. We keep what you type into it: your name, where you are from, your homepage address and how you found us if you give them, and your message. Nothing appears until we have read it and approved it, and then those details are shown publicly on the guestbook page, which search engines are asked not to list. We do not ask for your email address and we do not store your internet address or browser details with your entry; your internet address is only used, in scrambled form and for a day at most, to stop the guestbook being flooded. If you would like your entry changed or removed, email us and we will do it.
Games and the 1996 switch
The site remembers which look you chose (1996 or 2026) and your own best scores in the games. These are stored in your own browser using a feature called local storage, never sent to us, and you can clear them at any time by clearing your browser’s site data. If you make the top 10 in a game you can add three initials to its public high-score table. We keep those three letters, the score and the time, and nothing else: no name, no email address, no internet address. To stop the tables being flooded, your internet address is used in scrambled form for an hour at most. If you would like an entry removed, email us and we will do it.
Server logs
Like every website, the server that hosts this one keeps standard access logs: the pages requested, the time, the internet address they came from and the browser used. They are used only to keep the site running and secure, and are deleted on a rolling basis by the hosting provider.
What we do not do
We do not use advertising cookies, and we do not sell, rent or share your details with anyone for marketing. The only third party on the site is Google Analytics, and only if you say yes to it.
Cookies
On your first visit a small card asks whether we may count your visit with Google Analytics. If you say yes, Google sets cookies (named _ga and _ga_ followed by an ID) that last up to two years and tell us which pages are read and roughly where visitors come from; Google’s own privacy policy covers what it does with that data. If you say no, or if your browser sends the Global Privacy Control signal, nothing from Google loads and no cookie is set. Your answer is remembered in your browser for a year and you can change it at any time from the “Cookies” link in the footer.
If you are a client signed in to the client area, WordPress sets a cookie that keeps you signed in on that device for up to 30 days; signing out removes it. If you are a member of staff logging in to manage the site, WordPress sets cookies to keep you logged in and to remember your screen settings, as described in the WordPress documentation.
Who we share information with
Your details are handled by the companies that provide our email and web hosting, who process them on our behalf and under contract. Website check addresses may be sent to Google as described above. We will share information if the law requires it. That is the full list.
How long we keep things
- Quote enquiries: for as long as we are talking, and then for our accounts and records if you become a customer. If we never work together, we delete them within a year.
- Client projects, with their messages and files: for as long as we look after the work, and then for our accounts and records.
- Client products (hosting, domain names and the like): for as long as we provide them, and then for our accounts and records.
- Invoices, credit notes and payment records: six years after the end of the financial year they relate to, as HMRC requires, even if you ask us to delete your other details.
- Client area sign-in links: they stop working within 30 minutes (seven days for an invitation) and are deleted the next day.
- Guestbook entries: until you ask us to remove yours, or we close the guestbook.
- High-score table entries: until a better score pushes them off the top 10, or you ask us to remove yours.
- Website check reports: 90 days.
- Monthly re-check subscriptions: until you unsubscribe.
- Rate-limit records: ten minutes.
- Server logs: as set by the hosting provider, typically a few weeks.
Your rights
Under UK data protection law you can ask us what we hold about you, ask for it to be corrected or deleted, and object to how we use it. Email us and we will sort it out, normally within a few days and always within a month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
